We are seeking a highly organized and detail-oriented *Administrative Assistant* to support our Kamloops office, project teams, field crews, and day-to-day operations. This role will provide administrative support across client communication, project administration, accounting and billing, field operations, health and safety documentation, and general office coordination *Responsibilities:* * Answer phones and general inquiries, greet clients and visitors, and direct requests to the appropriate Project Manager or surveyor. * Set up new projects, maintain client and project records, prepare correspondence, quotes, cover letters, and transmittals. * Coordinate travel, accommodation, site access, orientations, and other logistical requirements for field crews. * Maintain vehicle records, insurance, registrations, maintenance schedules, fuel cards, and equipment records. * Monitor and order field supplies and other materials required by field crews. * Maintain safety certifications and documents, meeting notes and safety certification expiry dates. * Assist with safety documentation requirements * Coordinate day-to-day office operations, including supplies, vendors, mail and couriers. *Requirements:* * 1+ years of experience in an administrative, office coordination, or project support role. * Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines. * Excellent written and verbal communication skills and a professional, client-focused approach. * Strong computer skills, including Microsoft Office, Outlook, Word, and Excel. * Comfortable working with databases, project management systems, and other office software, for example, Deltek VantagePoint, Salus.[RS1] * Ability to maintain accurate records and follow established processes. * Ability to work independently while also supporting a collaborative team environment. * Experience with fleet, equipment, safety documentation, or client prequalification systems is an asset. * Valid driver's license is a requirement.
