Job description
F.A.S.T. Enterprises is an established commercial fitness equipment service, transportation, delivery and installation company serving customers throughout Ontario and across Canada. We are looking for an experienced *Senior Fractional Bookkeeper* to take ownership of our day-to-day bookkeeping and financial administration approximately *two regular days per week*. This is *not an entry-level bookkeeping or data-entry position*. We are looking for someone who can independently maintain accurate books, reconcile accounts, manage recurring financial obligations, identify discrepancies before they become problems, and provide management with financial information we can rely upon. The successful candidate will work primarily from our Concord/Vaughan office and work closely with ownership, our Operations Manager, management team and external accountant. Responsibilities * Full-cycle bookkeeping using *QuickBooks Online* * Maintain accurate general ledger accounts * Complete monthly bank and credit-card reconciliations * Manage and review accounts payable and accounts receivable * Review A/R aging and flag overdue or problematic accounts * Review vendor bills, expenses, customer payments and transaction coding * Process and/or review payroll information and payroll reconciliations * Prepare and reconcile *HST/GST filings and remittances* * Maintain CRA, payroll, HST and other recurring compliance deadlines * Assist with *WSIB reporting and reconciliation* * Investigate discrepancies and unexplained balances * Review transactions flowing between our operational systems and QuickBooks Online * Prepare reliable monthly P&L, balance sheet, A/R aging and A/P aging reports * Assist management with cash-flow visibility, budgeting and basic financial analysis * Maintain organized year-end working papers and supporting documentation * Work directly with our external accountant during year-end and tax preparation * Identify bookkeeping errors, missing documentation and process weaknesses rather than simply processing around them * Recommend practical improvements to bookkeeping procedures and internal financial controls Systems Our current systems include: * *QuickBooks Online* * *Jobber* * TD business banking and corporate credit cards * Google Workspace * Cloud-based field-service and business applications Experience integrating or reconciling a field-service/job-management platform with QuickBooks Online would be particularly valuable. What We're Looking For * Minimum *5 years of substantial full-cycle bookkeeping experience* * Strong hands-on *QuickBooks Online* expertise * Strong understanding of Canadian bookkeeping practices * Demonstrated experience with HST/GST, payroll remittances and CRA requirements * Experience with WSIB and Ontario payroll requirements * Excellent reconciliation and problem-solving skills * Ability to identify transactions or balances that do not make sense and investigate them independently * Strong Excel or Google Sheets skills * Comfortable communicating financial issues clearly to non-accountants * Highly organized and capable of managing recurring financial deadlines without being chased * Comfortable working independently while remaining accountable to management * Experience with an owner-managed service, trades, transportation, logistics, installation or field-service company is strongly preferred *QuickBooks Online certification, CPB Canada designation, accounting education or equivalent professional experience are assets.* What Success Looks Like We want our bookkeeping function to be current, accurate and predictable. Management should know that: * Bank and credit-card accounts are reconciled * Receivables and payables are current and visible * Government filings and remittances are handled on time * Financial discrepancies are identified promptly * Supporting documentation is organized * Month-end financial information is dependable * Our accountant receives clean and organized year
