*School Introduction* The International School of Cambridge (ISOC) was established by the Islamic Centre of Cambridge in 1992. This is a private school registered with the Ministry of Education and Training Ontario fully functional from Junior Kindergarten to Grade 8. We have established modern physical infrastructure with a large gymnasium and big playground as well as other facilities in the new building. Please click on the link for a brief introduction http://www.isocamb.com/. *Position Summary* The School Secretary provides comprehensive secretarial, administrative, and front-office support to the School Principal and teaching staff. The position supports the effective delivery of educational programs and services at ISOC while maintaining accurate student, staff, financial, and school records. The School Secretary is expected to maintain confidentiality, demonstrate professionalism, maintain effective communicate with parents and staff performing administrative duties with a high degree of accuracy and attention to detail. *Key Duties and Responsibilities* *1. Administrative and Office Support* · Provide clerical and administrative support to the principal and teaching staff as directed by the principal. · Prepare, organize, maintain, and update office records and files with a high degree of accuracy. · Maintain the confidentiality and integrity of school records, databases, and office files. · Perform general office duties, including filing, data entry, spreadsheet preparation, photocopying, scanning, and preparing routine correspondence. · Operate and manage multi-line telephone systems and other office equipment. · Prepare correspondence and documentation in accordance with school policies, procedures, and applicable education requirements. *2. Front Desk and Communication* · Serve as the first point of contact for students, parents, staff, visitors, and callers. · Answer telephone inquiries, relay messages, and transfer calls as appropriate. · Welcome visitors to the school and direct them to the appropriate person or department. · Maintain excellent and professional relationships with parents, teachers, staff, and other stakeholders. · Prepare responses to routine correspondence and inquiries. · Communicate school information clearly and professionally with families and stakeholders. *3. Student Registration and Records* · Process registrations for new students and complete annual updates for returning students. · Prepare and process student documentation, including registration forms, fee records, parent files, report cards, Ontario Student Records (OSR), and other required documentation. · Maintain accurate and up-to-date student records. · Manage student information in the school's student information system. · Enter and maintain student data with a high degree of accuracy. · Mail or email report cards, OSRs, and other required student documents as directed. *4. Attendance and Student Support* · Use appropriate reporting software to generate attendance and other reports for internal and external purposes. · Contact parents or guardians when students are absent or become ill, as required. · Support the Principal and teaching staff with student-related administrative matters. *5. Staff Attendance and Scheduling* · Prepare and maintain daily teacher attendance and time records for payroll processing. · Make appropriate adjustments to teacher schedules in the event of an absence. · Coordinate coverage for absent teachers by assigning duties to supply teachers or other staff members as directed by the principal. · Support school scheduling and timetabling. *6. Financial Administration* · Assist with petty cash, school funds, and related recordkeeping. · Prepare and process accounts receivable and accounts payable documentation. · Accept and process school payments from parents, students, and organizations. · Maintain accurate records of student fees and school payments. · Proc
