We are committed to operational excellence, strong patient experiences, and providing our clinic teams with the resources and support they need to succeed. *About the Opportunity* We are looking for a *highly organized, proactive, and resourceful Office Coordinator* to join our Head Office team. This is a hands-on coordination role supporting our Head Office and multiple dental clinics across Ontario. You will play an important role in ensuring that supplies are available, vendors and contractors are coordinated, facility issues are followed up on, technology needs are addressed, and operational projects move forward efficiently. If you are the person who keeps things moving, stays organized when priorities change, and does not need to be reminded to follow up, this may be the right opportunity for you. *What You?ll Do* *Operations, Purchasing & Inventory* * Coordinate day-to-day operational requirements across multiple dental clinics and Head Office. * Manage purchasing, inventory, par levels, orders, deliveries, returns, and discrepancies. * Coordinate supply transfers between clinics when required. * Compare vendor pricing, availability, shipping costs, and lead times. * Maintain accurate purchasing, inventory, and operational records. * Monitor outstanding orders and ensure issues are resolved promptly. *Vendor & Property Coordination* * Serve as a central point of contact for suppliers, contractors, IT providers, landlords, and service companies. * Request quotes and coordinate purchases, service appointments, deliveries, and vendor visits. * Coordinate property maintenance and repairs, including building access, signage, HVAC, plumbing, electrical, and other facility requirements. * Follow up on outstanding vendor and property issues until they are resolved. * Maintain appropriate documentation and records related to vendors and property matters. *IT & Technology Coordination* * Coordinate with external IT providers to address clinic and Head Office technology requirements. * Arrange installation, replacement, and setup of computers, monitors, phones, printers, networking equipment, and other technology. * Coordinate technology requirements for new clinics, renovations, and office expansions. * Track IT requests and projects and follow up to ensure timely completion. *Head Office & Special Projects* * Provide administrative and operational support to leadership. * Maintain reports, spreadsheets, vendor information, purchasing records, and operational documentation. * Support clinic openings, renovations, equipment installations, and other operational projects. * Identify operational issues and recommend practical, cost-effective solutions. * Manage multiple priorities and deadlines while maintaining strong attention to detail and follow-through. *What We?re Looking For* * *2+ years of experience* in office administration, operations, purchasing, inventory, facilities coordination, or a similar role. * Experience supporting *multiple locations* is strongly preferred. * Dental or healthcare experience is an asset. * Strong organizational, communication, and problem-solving skills. * Experience coordinating with vendors, contractors, IT providers, landlords, or service companies. * Excellent attention to detail and follow-up skills. * Ability to prioritize competing demands and work independently. * Proficiency with Microsoft Office and/or Google Workspace. * Comfortable working with online ordering platforms, inventory systems, and business software. * Professional, dependable, proactive, and service-oriented approach. * A practica
