Job description
*GTA Transmission Repair Corp.* is an independent, Canadian, family-run, CAA-approved transmission repair shop serving Toronto since 2014. We are seeking an Office Administrator to handle customer communication and keep our daily office operations organized. *About the Role* We are a busy shop, and we need someone who actively keeps track of what needs to be done. Once trained, you will be expected to manage the daily office routine independently, identify pending items and follow through without frequent reminders. A key part of this role is keeping the owners informed of outstanding tasks, deadlines and customer commitments, reminding them when action is needed and following up until each item is resolved. You must be comfortable taking this initiative, including when a task requires an owner?s input or approval. Training will be provided. *Key Responsibilities* * Welcome customers and handle phone, email and text inquiries professionally * Schedule and confirm appointments and maintain the shop calendar * Follow up on customer inquiries, outstanding quotes and pending items * Maintain accurate customer records and communicate with suppliers * Process and organize invoices, receipts, statements, inspection reports and other shop paperwork * Assist with reports, reconciliations and administrative tracking * Maintain organized digital files using OneDrive and other cloud-based systems * Take responsibility for keeping the office, reception and shared areas tidy, organized and ready for daily use * Support other daily administrative needs as they arise *Qualifications* * Legally entitled to work in Canada * Minimum three years of administrative experience * Excellent spoken and written English * Strong computer skills, including Excel and Google Sheets * Strong customer service skills and attention to detail * Ability to learn and retain new processes and software systems * Reliable attendance and punctuality Experience in a small business environment is strongly preferred. *Assets* * Experience in an automotive repair shop or service-based business * Familiarity with AutoLeap, Dext, QuickBooks or similar softwares * Portuguese or Spanish language skills * Valid Ontario driver?s licence *What We Offer* * A long-term opportunity with an established local business * Paid vacation * On-the-job training * Retention bonus * Casual dress * On-site parking * Health Spending Account If you enjoy helping customers and taking responsibility for an organized office, we encourage you to apply.
