Medical Office AssistantAbout Us We are a Traditional Chinese Medicine clinic providing *acupuncture, Registered Massage Therapy (RMT), cosmetic services, and clinical counselling*. We are also an *approved ICBC healthcare provider*, providing treatment and administrative support for ICBC patients. All of our practitioners are professionally licensed in British Columbia. We are looking for a *dynamic, detail-oriented, and patient-focused Medical Office Assistant* to join our healthcare team. As the first point of contact for patients and visitors, you will play an important role in creating a welcoming and professional patient experience. This position is ideal for someone who is organized, reliable, comfortable working in a busy healthcare environment, and able to communicate professionally with patients, healthcare providers, and insurance representatives. Key Responsibilities * Greet and assist patients and visitors in a friendly and professional manner * Schedule, confirm, reschedule, and manage patient appointments using electronic scheduling systems * Communicate with patients in *Mandarin and English*, both verbally and in writing * Maintain accurate and confidential electronic medical records (EMRs) * Use *JaneApp* for appointment management, patient records, invoicing, and administrative tasks * Familiar with social media platform is a plus * Maintain and update *Google Sheets/Spreadsheets* and other administrative records * Assist with billing, insurance verification, direct billing, and payment processing * Communicate with *ICBC adjusters, patients, customers, and healthcare providers* by email and telephone * Prepare and organize patient documents, correspondence, forms, and reports * Scan, upload, file, and maintain patient documentation while ensuring confidentiality and data security * Support practitioners with general administrative and clinic duties * Assist with preparing treatment rooms and maintaining a clean and organized clinical environment * Follow clinic policies and procedures related to privacy, documentation, billing, and patient care * Perform other administrative duties as required Qualifications & Skills * *Fluent in Mandarin and English*, with strong verbal and written communication skills * Previous experience in a *medical office, healthcare clinic, dental office, or similar environment* * Proficiency with *JaneApp or similar electronic medical record/scheduling systems (Fresh candidates are welcome)* * Familiarity with *Google Sheets, Google Workspace, and other office software* * Experience with billing, insurance claims, or *ICBC-related administration* is an asset * Excellent organizational and time-management skills * Strong attention to detail and accuracy when handling patient records and billing * Professional, friendly, and patient-focused communication style, provide good customer service. * Ability to multitask and work effectively in a fast-paced clinic environment * Strong computer and administrative skills * Ability to maintain strict patient confidentiality and handle sensitive information appropriately What We Offer * A professional and supportive healthcare environment * Opportunity to work with a multidisciplinary team of licensed healthcare practitioners * Experience in *Traditional Chinese Medicine, acupuncture, RMT, counselling, cosmetic services, and ICBC healthcare administration* * Paid employment with opportunities to develop healthcare administrative and patient-service skills If you are an organized, responsible, and energetic professional who enjoys working with people and wants to build your career in healthcare administration, we would love to hear from you. *Join our team and help us provide an exceptional healthcare experience for every patient.* Pay: $18.25-$20.00 per hour Expected hours: 40.0 per week Benefits: * On-site parking Work Location: In person
