*Job Summary* Ridley Windows & Doors West is a leading supplier of premium window and door solutions, servicing homeowners, builders, and architects across Southern Ontario. As our business continues to grow, we are seeking a detail-oriented, organized, and reliable individual to join our team in a full-time capacity to support our day-to-day purchasing, bookkeeping and administrative needs. The ideal candidate will provide essential support to our office operations, ensuring smooth administrative processes and effective communication. This role requires proficiency in various office software and a strong ability to manage multiple tasks efficiently. *Purchasing Duties * * Support the purchasing process by organizing the project review process and ensuring work flows appropriately * Create and maintain Purchase Orders (POs) * Follow-up on PO acknowledgements, delivery dates & order status * Ensure all required product, material, services, equipment and supplies are ordered for each job * Navigating supplier purchasing systems, as needed * Update purchasing records and ensure information is accurate and up to date * Assist with supplier documentation and general purchasing administration * Follow-up on outstanding information when required * Entering purchase orders into accounting system * Updating & maintaining booked contract tracking system * Updating & maintaining order statuses in CRM. *Bookkeeping Duties* * Matching supplier invoices to receiving documentation * Entering supplier invoices into accounting system * Preparing supplier payment files * Distributing supplier remittance advices * Preparing deposit invoices for customers * Billing customers for product and installation * Applying customer deposits and payments *Administrative Duties* * Data entry tasks accurately and efficiently, maintaining up-to-date records. * Manage filing systems, both electronic and paper-based, ensuring documents are easily accessible. * Operate phone systems to handle incoming calls, direct inquiries, and provide information as needed. * Assist with clerical duties such as scheduling appointments, managing calendars, and coordinating meetings. * Provide administrative support to team members as required, contributing to overall office efficiency. * Other duties as assigned *Skills* * Proficiency in Microsoft applications (Excel, Word, OneDrive). * Strong computer skills with the ability to learn new software quickly. * Excellent organizational skills with a keen attention to detail. * Experience with data entry and maintaining accurate records. * Familiarity with phone systems and effective communication techniques. * Experience in clerical or administrative roles is preferred; bookkeeping experience is a plus. * Ability to work independently as well as collaboratively within a team environment.
