Job DescriptionThe Medical Office Assistant / Receptionist is the face and first point of contact for our patients, delivering a warm, professional, and compassionate experience. This role ensures daily administrative operations run seamlessly while bridging communication between patients, physicians, and multidisciplinary healthcare teams
Key Responsibilities
Patient Reception & Communication
• Greet patients and visitors upon arrival, verify health cards (e.g., OHIP/provincial coverage), and manage the check-in/check-out process.
• Answer, screen, and direct multi-line telephone calls, emails, and secure inquiries with high professionalism and empathy.
• Monitor patient flow in the waiting room, update patients on provider delays, and notify clinical staff of arrivals.
• Comfort patients by answering preliminary questions, easing anxieties, and maintaining a tidy, welcoming reception area. [1, 2, 3]
Scheduling & Administration
• Schedule, confirm, reschedule, and manage patient appointments and waitlists using electronic medical record (EMR) software.
• Coordinate external or specialist referrals, diagnostic imaging, and follow-up lab appointments.
• Manage high-volume incoming and outgoing faxes, electronic correspondence, scanning, and secure document filing.
• Prepare daily charts, patient history intake forms, and consent documents ahead of visits. [1, 2, 3]
