*Office Administrator / Service Coordinator* *Job Overview* We are seeking an organized and dependable Office Administrator to join our appliance repair company. You will support daily office operations by handling customer inquiries, scheduling service appointments, coordinating technicians, and maintaining accurate records. The ideal candidate has strong communication skills, attention to detail, and the ability to manage several priorities in a busy environment. *Responsibilities* * Answer phone calls and emails professionally, assist customers, and book appliance repair appointments. * Collect and accurately record customer contact information, appliance brands, model and serial numbers, and descriptions of reported problems. * Coordinate technician schedules based on availability, service locations, and job requirements. * Confirm appointments and keep customers informed about technician arrival windows, schedule changes, and parts availability. * Create and update work orders, customer records, and technician job notes in the company?s service management software. * Communicate with manufacturers and warranty providers regarding service requests, required documents, and claim status. * Order approved appliance parts and track deliveries, returns, and supplier credits. * Prepare invoices, record payments, and follow up on outstanding balances. * Organize receipts, supplier invoices, and other financial documents for the bookkeeper. * Maintain organized digital and physical files while protecting confidential customer and company information. * Manage office supplies and provide general administrative support to the team. *Experience and Qualifications* * Previous administrative, customer service, or scheduling experience; experience in appliance repair, home services, or a similar service business is an asset. * Proficiency in Microsoft Office and Google Workspace. * Ability to learn service management, scheduling, and invoicing software. * Strong telephone etiquette and clear verbal and written communication skills. * Accurate data entry skills and strong attention to detail. * Ability to prioritize tasks, manage changing schedules, and work effectively in a busy office. * A professional and patient approach to customer inquiries and concerns. * Experience with parts ordering, warranty claims, or basic bookkeeping is an asset.
